OFFICE COORDINATOR / RECEPTIONIST – SPANISH REQUIRED

Summary

Under the supervision of the Children Services Director, the Office Coordinator/Receptionist provides reception assistance to callers, visitors and clients of our Children’s Services department, and perform general administrative duties for Children’s Services and other agency departments, including Human Resources and Administration.

Responsibilities

  • Answer calls (low to moderate volume) and assist callers based on their needs.
  • Distribute daily mail.
  • Greet and assist clients, providers and visitors in a professional manner and direct them to the appropriate staff or department.
  • Assist with child care eligibility and pre-screening applicants, maintaining database, and responding to general questions.
  • Provide administrative support to Children’s Services administrative staff, such as data entry, mailings, assisting with Spanish translations, etc.
  • Perform administrative tasks and special projects for Human Resources and other departments, such as updating phone directory, making employment packets and files, maintaining logs, ordering supplies, etc.
  • Support Administration with set up of board meetings, minutes, communications to and from the board; other meeting support as needed.
  • Attend department, program and agency meetings as required.
  • Maintain a professional front office environment.
  • Other duties as assigned

Qualifications

  • 1-2 years receptionist and administrative experience
  • Bi-lingual English and Spanish required
  • Sensitivity to the needs of low income clients
  • Strong organizational skills and ability to handle multiple tasks
  • Strong communication and customer service skills
  • Experience with database software, Microsoft Office (Word, Excel, Outlook) and basic office equipment (phones, postage meters, copiers, etc.)
