Job Description

The Executive Assistant will provide administrative support to the CEO, coordinate and implement assigned projects, and provide support for monthly Board of Director and Committee meetings. The Executive Assistant must possess strong communication and interpersonal skills, exercise sound judgment, appropriately handle confidential information, and have strong organizational, multi-tasking and computer skills.

Responsibilities

  • Provide administrative support to the CEO on a daily basis.
  • Utilizes good judgement and common sense in carrying out work responsibilities, decision making and handling confidential information.
  • Manage CEO’s calendar and assist with keeping his schedule on track, including coordinating meetings, sending reminders, preparing materials and presentations, and tracking deliverables.
  • Ensure meeting technological needs are in place and working effectively (Zoom, sound, projectors, etc.).
  • Coordinate and management multiple responsibilities and projects, and ensure proper follow-through and timely completion.
  • Acts as a liaison for the CEO across the agency, including internal leaders and staff, and external parties, including donors, city council, federal, state and local officials, and community leaders.
  • Provide logistics and administrative support for monthly Board and Committee meetings, including compiling materials, and taking and distributing meeting minutes.
  • Drafts communications and responses, and respond to requests for information.
  • Organize and maintain office records and files, and retrieve necessary information for meetings and projects.
  • Create and maintain documents, reports, charts and miscellaneous correspondence using MS Office software
  • Coordinate travel and reservations for conferences and other work-related needs, and prepare reimbursement requests as needed.
  • Assist with agency infrastructure projects that may include operations, technology, facilities, etc.
  • Order and maintain office supplies.
  • Other duties as assigned.

Requirements

  • 3+ years related administrative experience
  • Associate's or Bachelor's degree in Communication, Business Administration or related field preferred
  • Very strong computer skills using Word, Excel, Outlook, PowerPoint and Zoom
  • Experience working with a non-profit Board of Directors helpful
  • Strong judgement and problem-solving skills
  • Experience coordinating meetings, creating agendas and taking/maintaining meeting minutes preferred
  • Superior written and verbal communication skills, ability to develop written correspondences and interact with individuals at every level of the organization
  • Strong interpersonal skills and the ability to work with leadership staff in an exciting, fast-paced, culturally diverse environment
  • Excellent ability to produce data, reports, charts and presentations utilizing MS Office and other software programs
  • Superior organizational skills, detailed oriented, and incredible talent to follow through on assignments in a timely manner
  • Professional and flexible disposition with ability to perform a variety of tasks, maintain poise under pressure, and ability to change priorities without advance notice.
  • Ability to work diplomatically and collaboratively across the organization and in the community in support of Davis Street
