Job Description

The function of the Davis Street Children’s Services Intake/Support Coordinator is to provide the overall intake and program direct services to potential and current children’s services participants, screening applicants in coordination with the APP/CalWORKS and Center-Based programs, including managing the eligibility list, data entry, reception, phone to provide support to the Eligibility and Case Specialists in coordination with the Children’s Services Director.

Responsibilities

  • Intake/Coordinate all child care inquiries, calls, screening and processing subsidy and non-subsidy child care applications, and maintenance of the Non-subsidy and Subsidy Eligibility waitlists (walk-ins, mass enrollments, etc.)
  • Greet, direct clients, monitor child care intake areas/rooms for all potential and active walk-in inquires. Keeping intake areas/rooms neat and presentable at all times.
  • Coordinate with Eligibility and Case Specialists the distribution and collection of the mass enrollment packets, appointments and follow-up if needed for the department.
  • Intake/Coordinate all Children Services outgoing and incoming mail, faxes, appointment and intake calendars, phone messages to distribute with the Children’s Services staff.
  • Data entry in child care database (CC4), (annual school district, bell schedules, mass mailings, emails, addresses etc.)
  • Assist/coordinate with the Children’s Services Director the collection of child care data for reporting, and for the overall child care enrollment support tasks.
  • Assist with the mass communications and department office tasks: Distribution of flyers, postings, email blasts, Mass copying tasks and mailings (Parent/Provider Handbooks, filing, creating and collapsing files, labeling, boxing/ storage of term files, etc.
  • Coordinating the mail, inventory, restocking, purging, and ordering of the department office supplies with Children Services support staff.
  • Attendance at department meetings, monthly Agency wide and offsite program related meetings as required Early Education and Support Division, Eligibility and Need workshops, etc.
  • Other special projects and duties as assigned by the department assisting the Children’s Services Director.

Requirements

  • Must be Bilingual in Spanish or Bilingual Chinese - fluent in both written and verbal
  • Experience in the areas of customer support/intake/enrollment process of families receiving subsidized or non-subsidized childcare and/or social services.
  • Experience in the Non-profit sector, and knowledge of community support services available to subsidy families is preferred.
  • General office knowledge, including operation of basic office equipment (fax machines, postage meters, copiers, etc.)
  • Computer experience (Word, Excel, etc.) required; and Child Care software knowledge/ experience (i.e. MCT Care Control) is preferred.
  • Requires sensitivity to the needs of low-income and or clients from stressed environments.
