Job Description

Under the direction of the Medical Director, Nurse Manager, the Administrative Assistant performs a variety of confidential support, projects, and administrative duties related to clinical care and clinic operations. Also act as the liaison on administrative matters including facilities, personnel, equipment, supplies, and information technology.

Responsibilities

  • Performs a variety of administrative support tasks, including routine and confidential tasks, reports and communications to internal and external stakeholders, and special projects.
  • Coordinate and attend meetings, including calendar invites, in-person and virtual logistics, agendas, materials, taking minutes, and tracking to ensure timely follow-up of meeting action items.
  • Coordinate and assist with provider credentialing and privileging tasks, including scheduling meetings, gathering and distributing materials, taking minutes, and ensuring the files are complete with all signatures.
  • Coordinate schedules, trainings and calendars for assigned staff.
  • Collect, interpret and submit data information, as required.
  • Prepare documents, reports and presentations.
  • Assist with select grant deliverables, quality improvement initiatives, risk management activities, and operational optimization.
  • Perform gathering and compile data for qualitative and quantitative analysis.
  • Perform workflow mapping and documentation.
  • Assist in the preparation of data for internal and external reports as needed by leveraging EHR tools or liaising with EHR support resources.
  • Assist in the preparation and coordination of audits (i.e., HRSA, D.H.S./Managed Care, CHDP, Health Plans, CPSP, etc.) as necessary.
  • Assist in maintaining clinic policy and procedures, and forms data base.
  • Assist in preparation of monthly meetings, agendas and minutes.
  • Assist in the completion of applications or submissions to external parties for, but not limited to Medi-Cal D.H.S., Covered CA, etc.
  • May assist with Quality assignments, as needed.
  • May participate with community outreach and health fairs.
  • Assist with special projects and clinic initiatives as requested.
  • Other duties as assigned.

Requirements

  • Degree or Certificate in health science or related field preferred.
  • 2 years strong administrative experience in a healthcare setting.
  • Strong computer skills using Word, Excel, Power Point and Outlook.
  • Experience utilizing and retrieving data from an Electronic Medical Record system.
  • Strong analytical skills, and skills creating spreadsheets, charts and graphs.
  • Excellent written and verbal communication skills.
  • Motivation to take initiative to ensure all tasks performed are complete, timely and accurate.
  • Ability to prioritize workload and meet deadlines.
