Job Description

Davis Street Community Center is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Chief Executive Officer. This role is ideal for a professional who thrives in a mission-driven environment and enjoys working on a variety of projects that have a direct impact on the organization and the community we serve. The Executive Assistant will provide high-level administrative support, manage the CEO’s calendar, and support monthly Board and Committee meetings. This individual must demonstrate sound judgment, discretion with confidential information, and possess excellent communication, interpersonal, organizational, multi-tasking, and computer skills.

Responsibilities

  • Provide daily administrative and operational support to the CEO.
  • Manage the CEO’s calendar and help keep his schedule on track, including coordinating meetings, sending reminders, preparing materials and presentations, and tracking deliverables.
  • Act as a liaison between the CEO and internal/external stakeholders, including staff, Board members, donors, public officials, and community partners.
  • Support monthly Board of Directors and Committee meetings by compiling materials, managing logistics, and taking/distributing meeting minutes.
  • Draft emails, memos, reports, and responses to requests for information.
  • Ensure meeting technology (Zoom, audio/visual setup, projectors, etc.) is functioning smoothly and set up in advance.
  • Coordinate and manage multiple projects and responsibilities simultaneously, ensuring timely follow-up and successful completion.
  • Organize and maintain digital and physical records, create and format documents, reports, charts, and correspondence.
  • Coordinate travel arrangements, event logistics, and prepare reimbursement requests.
  • Assist with agency projects.
  • Other duties as assigned.

Requirements

  • 3+ years of related administrative experience, preferably supporting senior leadership.
  • Bachelor's degree in Communications, Business Administration, or a related field preferred.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Zoom, with strong overall computer skills.
  • Experience coordinating meetings, preparing agendas, and taking accurate meeting minutes preferred.
  • Excellent written and verbal communication skills, with the ability to draft professional correspondence and engage effectively with individuals at all organizational levels.
  • Skilled in producing clear, data-driven reports, charts, presentations, and other materials using MS Office and related tools.
  • Strong interpersonal skills and the ability to work with internal and external staff and leaders.
